Out of Pocket

On Monday, I discussed the difficulty of paying for certain research activities from grants. In some cases (e.g. postage) the easiest solution is to pay from personal funds. If I save a lot of time by paying myself, it's worth it to me to pay cash or use my own credit card.

Every April when I prepare my tax returns, I am aware that my non-reimbursed professional expenses add up to thousands of dollars each year. My husband typically has a similar amount. What are we spending all this money on? Stamps?

Professional expenses that I pay for myself (not from grants) include:

- Postage, photocopies, office supplies, computer supplies, peripherals, ink cartridges, printer drums, software etc. We used to be able to set up an account at a campus bookstore and purchase some of these things, but alas, those days are gone. I am not very good at keeping track of all these expenses, but I can figure some of it out from credit card receipts.

- Research expenses after a grant has expired; e.g. conference travel to present results of the research, or page charges/color printing fees for an article published after a grant has expired. In some cases I can deal with post-grant conference travel by also presenting results from research related to an active grant, or I can put the page charges on a related grant (or use the mysterious IDC funds that are allocated to faculty at random intervals). In some cases I just pay for it on a credit card and don't get reimbursed.

- Travel expenses not anticipated or not possible to budget in a grant. If I made a realistic budget that included travel to 1-3 national and international meetings and workshops for me, most or all of my graduates students, a postdoc, and some undergraduate research assistants, the travel budget would be insanely large. Therefore, for some trips I pay my own way. I can use frequent flyer miles for some travel (though this is becoming more difficult and expensive), and I can use ff miles to send some members of my research group to conference sites. Frequent flyer miles help, but using them comes with fees, especially if the ticket is for someone else. And then there is the cost of the conference registration (expensive), lodging (expensive), and per diem (food) for my research group. I don't tend to reimburse myself for per diem expenses, mostly to save grant money.

- Teaching materials. The supplies budget for teaching materials in my department ranges from sufficient to zero. When it is zero, my choices are to teach with incomplete and scruffy materials, or to purchase items myself. The amount of breakage and loss and general damage is rather impressive in some of the lab classes, so there is a constant need to replace some of the teaching supplies. If these are not replaced, the students are cranky, the TA's may be cranky, and my ability to teach well is compromised (as are my teaching evaluations). It is worth it to me to buy some items myself if that is my only choice.

- Professional society memberships, journal subscriptions, books.

- Costs associated with entertaining visiting colleagues, prospective students etc. (although these expenses are in a different category for tax purposes).

There are also some pseudo-professional expenses that I don't typically count for tax purposes but that are related to my professional activities:

- Expenses related to taking language classes. I have been taking these classes specifically because learning this language will help with some long-term research projects and international collaborations, but I don't have to take these classes in the same way that I have to do other research activities. As a faculty member and non-degree seeking 'student', I don't have to pay tuition (just a nominal fee), but I do of course have to buy textbooks, CDs, and other materials related to the language course.

- Expenses related to bringing my daughter to conferences. If my husband and I attend the same conference, our daughter comes with us. We pay her airfare, of course, and when she was younger, we paid for on-site child-care (if offered) for at least part of the time.

It all adds up somehow to thousands of dollars for each of us. With the exception of the teaching materials, some of the rest is quite reasonable to expect us to pay ourselves, though I do wish it were easier to pay for research-related travel. With the huge airfare increases this year, my travel budgets for existing grants are taking a big hit.

Women In Science - extra edition

Tuesday - extra edition - Women In Science Summary Statement

Those who are visiting this blog via links in the online comments to the TierneyLab ("Male Bias or Female Choice?") in The NY Times today may not be particularly interested in this week's rants about bizarre and unwieldy accounting procedures that afflict university researchers with grants. For tomorrow's post, I was planning on writing about how much -- and in what circumstances -- faculty use their own money to pay for research expenses. The majority of my posts are about basic Science Professor issues.

I write about life as a Science Professor, but my experience is profoundly affected by the fact that I am a woman. I am never just a Science Professor, as I am constantly made aware that I am a Female Science Professor (hence the name of this blog). Throughout my academic career, I have had negative experiences directly related to being female, and I know from discussions with female colleagues that I am by no means alone in these experiences:

physical: grabbed, touched, pinched etc.;

verbal: told I was/am stupid, told that women can't be scientists, told that I'm not a 'real' professor because I'm a woman, told that I am not objective because I am a woman, told that I am not as qualified as men who have the same credentials; and: whenever I attain something (a job, a grant, an award, a position of responsibility in a professional organization), I am asked "Did they have to select a woman?" or told "They must have had to select a woman".

economic: paid significantly less than male peers, given less lab space, given lower priority for leaves/matching funds/other requests related to $$ and my research program;

other: burdened with service work but never given a leadership role; I am forever serving as the low-level but diligent member of committees and/or as the token woman.

Summary: Discrimination, bias, and harassment of women in subtle and non-subtle ways are pervasive in the physical sciences.

The academic culture is set up in a way that makes it difficult (but not impossible) for women to have families and a successful career; academia is not alone in this, of course. Nevertheless, despite endless studies of why women drop out of science, the culture of bias and the family-unfriendly organization of the typical university make it unlikely that the situation will improve any time soon.

The question of 'female choice' -- as in, do women choose not to be scientists -- is not a relevant question; it is a diversion based on flawed data. Those of us who teach at universities have long had significant numbers of women in our undergraduate and graduate science classes. Many of these women are passionate about science, and they are very smart. It is bizarre to ask a question about whether women decline to pursue scientific careers because they aren't interested or whether they drop out because they don't want to work hard enough. The women are there, they are interested, and they are able.

The relevant question is: How can we change things to encourage these smart, motivated, hard-working women to stay in science?

If this blog had not been mentioned in the comments of the TierneyLab, I probably wouldn't have bothered writing about John Tierney yet again.

I have written about him before: first when he questioned the NAS study "Beyond Bias and Barriers" based in part of the fact that the NAS committee was mostly comprised of women. I noted the many committees I have been on that have been dominated by men; in fact, for many committees I am the only woman. Some committees at my university are entirely composed of men (including a recent hiring committee that recommended hiring .. a man!), and no one seems to be doubting their objectivity.

I later commented on an even stranger op-ed piece by Tierney, in which he wrote about how liberating it must be for women in Civil War reenactments to wear bulky, sweltering clothes. I was disappointed that he did not take his essay to its natural conclusion of considering the liberating effects of wearing a burkha.

There are young women science students, researchers, and faculty today who have not personally experienced or been aware of bias or discrimination, and this is extremely encouraging. Clearly, though, there are not enough women having these positive experiences to increase the participation of women in science. Something has to change.

Making an Effort

Astute commenters on yesterday's post noted that effort reporting at universities is another bizarre aspect of grants management. This is so true. I alluded to this in a previous post on summer salary, but perhaps the topic of effort deserves its own discussion.

Back in the day of effort statements that were printed on paper and that required faculty to sign them so that the forms could be returned to some office where they were no doubt lovingly filed and stored in a special room in the financial nerve center of the university, one of my colleagues used to sign his statements as "Mickey Mouse", just to see if anyone noticed. No one ever did, or at least no one ever mentioned it. As an Assistant Professor, I dutifully signed mine with my real name in my best handwriting, certifying that I had done my professor activities in the proportions stated, even if I hadn't.

In my more recent experience, there are two particularly absurd aspects of this kind of 'effort':

- The % effort assigned to each of my job activities has changed somewhat dramatically with time, but continues to bear no relation to my actual effort. As far as I can tell, these numbers were selected by a random number generator in an accountant's computer. The annoying thing about this is that the university accountants insist that I use their numbers in my current-and-pending support forms for grant proposals, even though these numbers are misleading and typically make it appear that I have more summer salary than I do, making it more difficult for me to request what meager summer salary I hope to eke out of my grants.

- Now that effort reporting is web-based, I am asked to certify the effort of my students, including undergrads who do part-time work for me. Because each person gets one effort statement, I am asked to certify all of their effort, even if they also work part time in the dining hall or a parking garage. Then I am asked to check a box saying that I know for a fact that this person did all the work that the statement says they did. I have absolutely no idea if my undergrad research assistants even show up to work in the dining hall or parking garage or wherever.

I therefore refuse to sign off on the effort statement of someone for whom I have only partial information as to their effort. A possible explanation for why the accountants are reluctant to give me accurate information about my grants and budgets is that they are getting revenge for how difficult I am when it comes to effort statements (and a few other things).

Also, once you have been a co-PI with a colleague at the same university and once you have paid a student (grad or undergrad) from a grant, they are never removed from your effort list even once the grant/work is done. If I one day felt overwhelmed by an urge to sign effort statements, I could sign the statements for the department Chair, a number of other colleagues, students who are now in other departments, and all sorts of random people. I have not yet been visited by such an urge, but it could happen (but no one would even care).

The accountants have stopped pestering me to sign the effort statements of people other than my own and that of grad students and postdocs who are funded entirely on my grants, but I did lose the battle to have my NSF budget forms match my actual effort instead of the bizarre university numbers. The university will not even submit my proposals if I don't use their stupid numbers, and I decided it wasn't worth the effort to fight the accountants on that one.

No Man's Land

Despite the presence of the word 'Man' in the title, this is not actually one of those Gender Lens-y FemaleScienceProfessor posts. It is about research grants and what we can and cannot use them for, and in particular the phenomenon of having a legitimate research activity that falls between the cracks of funding agency restrictions and university restrictions. The subtitle of this post could be: The Accounting Gods Must Be Crazy

Grants obtained from federal agencies and other sources place restrictions on the types of things for which the grant can be used. This makes sense. If there weren’t these restrictions, professors might spend grant money on crystal vases for their yachts instead of on research. OK, so maybe I wouldn’t be too tempted to do that, but I might get jeweled collars for my cats.

The annoying – and at times surreal – part of grant restrictions is when a certain type of material or an activity is caught in the no-man's-land between funding agency and university restrictions. Examples:

Postage/Mail: As part of my research activities, I need to mail research-related items. I don't just mean that I need a few stamps now and then and am too cheap to buy them myself. The amount I spend on research-related postage is on the order of few hundred dollars per year for items that can be sent by regular (non-courier) mail. I think that NSF thinks that the university should provide postage from the indirect costs (IDC) that universities receive from every grant. The university, however, does not think it should pay for postage. I can see why funding agencies and universities don't want to pay this; the total sum for all investigators would be large.

In any case, my options for mailing are:

- Pay the postage myself if I want to use regular USPS mail;

- Use a grant and send the items by courier, even though this is more expensive and speed may not be necessary.

- Attempt a complicated (but ethical) third way that involves the small % of IDC that the university transfers to the department, which then transfers a minute fraction of this fraction to individual investigators and puts this money in an account that, with effort, I can learn exists. The funds are not transferred at any predictable time during the life of a grant, and we are never notified when a transfer occurs. In some cases, no IDC transfers are made within an entire year. If I ask nicely, the accountants might tell me whether I have such funds, and even how much I have in an account, and, if I am lucky and the accounting gods are happy, maybe I can even use the funds for mailing a package.

Photocopies: For one of my grants, I knew that I would need to photocopy some documents and images in a particular size and resolution that would require a specialized copy facility, so I budgeted for this in the proposal. A couple of months ago when it was time to make the copies, I found that I couldn’t. A university accountant had deleted that item from my budget and had transferred the funds I’d requested to another budget line. I didn’t notice it because my total budget didn’t change, and I didn’t get a line-by-line breakdown of the revised budget. [note: the budget we submit to NSF and the budget that the university goes by can be slightly different in terms of budget lines; this adds to the fun of proposal writing and grant management].

I discussed this with the accountant and explained, as I had also done in my budget justification submitted as part of the proposal, why I needed photocopies. He said “Oh, OK, that’s definitely allowable. I thought you just wanted to make regular photocopies.” Well, I do sometimes want to make regular photocopies, but I know better than to attempt to request funds for that. He sighed and said that he could, with effort, create a new budget line that would allow me to make the photocopies and charge the expense to the grant. And in fact he did so at my request and the problem was eventually solved.

More difficult and serious than mail and photocopies is the purchase of some necessary but prohibited items for labs. For example, a colleague of mine is writing an equipment grant. He has identified lab space, he has the necessary promise of matching funds from the college and department, and he has quotes for the analytical equipment, but he is not allowed to request funds for a table on which to put the equipment. He can’t just haunt garage sales or order a table from Ikea – he needs a sturdy, stable lab table of particular dimensions and materials. Tables, however, are considered 'office furniture'. What if he used the funds to buy a mahogany credenza for his office? He tried calling it 'lab supplies', but this type of grant proposal also prohibits that type of budget item. And he can forget trying to get funds to buy a chair for the lab. I said “You won’t need a chair because you’re going to have to put the machines on the floor”.

I have complained before about the many hours of useless ethics training faculty must endure, even if I support the general concept of ethics training. I have complained about how we are told that we cannot use a printer to print a document for a project that is not related to the grant that purchased the printer, so if we have several grants we should buy several printers, or, one ethics instructor once admitted under torture, we could probably get away with one printer if we keep separate ink cartridges and printer drums (for laser printers) for each project.

I am not going to say that faculty are forced into unethical behavior by absurd rules that leave a no-man's-land in which we can’t acquire or use grant funds for items we legitimately need for our research, but I will say that we have to go through bizarre financial contortions just to get some really basic things done.

Data Fiend

Tonight at dinner my husband referred to an incident from ~ 10 years ago that he described as "the most fascinating psychological window into your soul", meaning my soul. I hadn't really thought about it that way, but I can kind of see what he meant. So here it is:

When I was pregnant with my daughter, I had a very severe case of gestational diabetes. This was a big surprise because I had no apparent risk factors. I wasn't overweight and had no family history of diabetes. Doctors were also surprised by the severity of the diabetes. I had to take rather massive doses of two types of insulin by injection twice a day. I followed an extraordinarily strict (boring, depressing) diet exactly, but it took weeks of monitoring and ever-increasing doses to get things under control.

At various times of the day, I had to prick my finger and do a blood sugar test with a small monitoring device at home. Between these jabs and the twice daily injections for 10 weeks, I was a total pin cushion, and I was not always very cheerful about it.

I had a little booklet in which I recorded my blood sugar level, but I also started keeping track of the results in a spreadsheet and I graphed the results every day. I got interested in the shape and magnitude of some of the blood sugar highs and lows, but my initial sample spacing (in time) was too rough to get a satisfactory graph of these spikes, and there were other aspects of the data that I didn't understand when I did the minimum number of recommended tests.

So, despite my loathing for jabbing myself in the finger with a sharp object, I started collecting more data. I tracked the blood sugar spikes so that they were defined by more than one point and I could really see their shape and I was certain of their maximum values. I collected data day and night. I dreamed of a device that could provide a continuous readout of my blood sugar and make perfect graphs. Even with my primitive data collection techniques, however, I made beautiful graphs and I did things with the graphs in terms of how I analyzed them over different time periods and how I displayed the data. I was obsessed with these graphs.

Part of what fascinated me about all this was the fact that I had so much control over the data. In my research, acquiring data can be a very time-consuming and expensive process, and it is not always immediately clear what the results mean. With my blood sugar data collection project, I could get as much data as I needed and the only cost - other than a bit of pain and some scarred fingers - was the price of the test strips.

The first time I brought my graphs and spreadsheet to a doctor's appointment, the doctor was stunned. He called all the other doctors and nurses over to look at it. He asked my permission to make copies and fax them to other doctors. He asked me to start sending him my graphs between appointments. He stopped talking to me like I was a slow child and started discussing with me what the data might mean. He gave me suggestions for ways to get more useful data. All of this helped get me through a difficult time.

Although the anxious and painful aspects of having severe gestational diabetes are not something I want to remember, I very clearly remember the excitement of acquiring and graphing the data. I think that is what my husband meant about the "window into my soul", which I suppose must be a scientific soul.

My daughter was born completely healthy at 7 pounds 10 ounces, although there were some difficult moments at the end. I've heard that most women forget the pain of childbirth (and hence are willing to have more children, ensuring the survival of the human race), but it is difficult for me to forget because my daughter was born at exactly 5 pm and the doctors were listening to NPR news in the delivery room. My daughter arrived as the NPR top-of-the-hour theme song snippet played, so every time I hear this song (i.e., almost every day), I am reminded of that moment.

I Like Feeling Stupid

Earlier this summer I read the excellent essay by Martin A. Schwartz in The Journal of Cell Science (May 20, 2008, doi: 10.1242/10.1242/jcs.033340) on "The importance of stupidity in scientific research." He describes how even very smart people might not enjoy research because they don't like feeling "stupid" all the time. Some of us who love research and the academic life, however, are used to feeling stupid and may even enjoy it in a weird way.

In this case, feeling stupid means that you are placed in situations in which you don't know something (or anything). That's what research is all about. There are things we don't know but want to know, so we try to figure them out. It is rare that the path to the solution, if there even is a solution, is a simple one of following obvious step A and then obvious step B. It is easy to feel stupid when you spend a lot of your time working on difficult problems that you might not ever be able to solve. Some people hate that feeling of being lost and confused (= stupid) and others find it interesting and accept the frustrations as a natural part of doing research.

I like the way Schwartz puts stupidity in the context of the discovery aspect of scientific research. His last paragraph is particularly good:

Productive stupidity means being ignorant by choice. Focusing on important questions puts us in the awkward position of being ignorant. One of the beautiful things about science is that it allows us to bumble along, getting it wrong time after time, and feel perfectly fine as long as we learn something each time. No doubt, this can be difficult for students who are accustomed to getting the answers right. No doubt, reasonable levels of confidence and emotional resilience help, but I think scientific education might do more to ease what is a very big transition: from learning what other people once discovered to making your own discoveries. The more comfortable we become with being stupid, the deeper we will wade into the unknown and the more likely we are to make big discoveries.

I was also struck by his point that we as advisors (and the academic system in general) don't do a good enough job of teaching our students how to view this type of "stupidity" in a positive and constructive way. I think he's right, but it is challenging to teach someone this.

When I read the essay, I immediately thought of several people I thought might be interested in reading it, including some students who might benefit from this perspective. For example, I know one hard-working and talented student who says he feels stupid much of the time. He is working on a very difficult problem that has no real end to it in the sense of a simple elegant solution that explains everything. Even so, his research is very important in its own right and has made some significant advances in our understanding of the problem. Just as Schwartz describes in his essay, this student also asked a more senior researcher how she would solve the problem he is working on, assuming that someone else must know the answer. The answer: I don't know.

I was reasonably confident that he wouldn't interpret my sending the essay as a backhand way of telling him that I think he is stupid, so I sent him the article. He liked the essay, thought it was interesting, and understood that I sent it to him as encouragement, not disparagement.

I have not yet sent the article to some of the other people I think should read it. If someone is profoundly lacking in confidence and has shown irrational tendencies to interpret neutral comments or interactions as devastating criticism, how would such a person react to being sent an essay on stupidity? Even if I sent the essay as part of an email to a group and not to targeted individuals, I think it would still be taken the wrong way by some. That would be stupid, but perhaps there are other ways to get the same point across without actually using the s-word.

Often Constrained

A common minor writing problem is the misuse of 'time' words like while, when, and often. Often is often used to indicate commonly or typically or in most/many cases, but often implies time and the other words don't.

In fact, I saw an example in a New York Times op-ed essay this week: ".. they are often elderly." Are these people elderly on Mondays, Wednesdays, and Fridays, or for certain hours of the day?

This is not the worst writing error in the world. If someone uses often to mean commonly, the reader knows what the writer intended to say.

(Mis)use of constrain is of a similar order of magnitude minor error. If you say that you (or your data) constrained something, everyone will know that you mean that you measured or determined something or that you have reduced the number of reasonable interpretations by figuring something out. Technically, however, constrain means to compel, confine, restrain, inhibit, or limit by force (physical force or more conceptual force). Even if you have wrestled (metaphorically) with your equipment, data, or graduate students to get a result, it is unlikely that you have constrained anything.

When I edit a manuscript written by someone else, my first priority is to make the text understandable. The extent of my editing depends of course on circumstance -- what is my role in this manuscript (editor, co-author, reviewer, advisor)?, is it better to provide advice rather than major edits (e.g., for someone who can learn from a general comment and make the necessary corrections)? does the author need help writing in English? have I edited this document before? how much caffeine have I had today?

In situations in which it is required or appropriate for me to be an active editor, I make corrections of minor things like often and constrain in manuscripts that need the most and the least editing, and I don't bother to make such minor corrections in manuscripts that need a medium amount of editing.

Why the worst and the best and not the middling manuscripts?

The worst manuscripts (in terms of writing, not content) need total rewriting, so I fix everything. The entire effort can take a lot of time, but it doesn't require additional time to fix the trivial problems.

The best manuscripts are a pleasure to read and edit. If, however, I see something not-quite-right, I can't help but fix it. I think writing/editing is the only thing for which I have some perfectionist tendencies, but I'm probably not the one to ask about that.

Manuscripts that require an intermediate level of editing are those for which I don't need to rewrite many many sentences and paragraphs and pages, but they may require a substantial amount of fixing of writing errors such as lack of subject-verb agreement, inconsistent verb tense use, misplaced modifiers, vague or ambiguous wording, lack of topic sentences at the beginning of paragraphs, or lack of parallelism of items in a list, like I just did in this list. If I have to fix things at that level, I let the minor problems slide as long as the meaning of the text is clear.

Some of my colleagues and students would probably disagree with this assessment -- they would likely say that I comment on everything, no matter how minor -- and in some cases that is true (but not as often as they may think).

In Your Facebook

In fall 2007, I contemplated the issues that confront a faculty member re. involvement in the Facebook culture, especially in terms of interacting with students on Facebook. I was - and am - skeptical that Facebook is something I want or need to be part of, but the number of requests to join and be electronic friends with my actual friends made me relent.

At first it was very strange to go to a webpage and be informed that I have 3 friends or some other low number. And then I started getting requests from students. And then I got requests from random colleagues whom I sort of know and sort of like but don't consider friends in the old-fashioned sense of the word. These are not people with whom I would correspond by email to chat about my weekend or the extraordinarily cute thing my cat did this morning.

Following the advice of my Facebook-savvy colleagues, I always accept a friend request from a student but I never make a request. I never look at a student's Facebook pages unless a student writes and says "Take a look at the photo album of my amazing trip to Sardinia" or something like that.

I have accepted most friend requests from colleagues and acquaintances, but I have declined a few (or in some cases just not responded, which is maybe sort of the same thing as declining, just more lame?). For example, I declined to 'friend' a sort-of colleague who emails me at least once a week asking me to do things for him (send him papers, write his papers, do his analyses, give him research ideas). I am not eager to increase my level of interaction with him, and the thought of his being part of my Facebook universe is too grim to contemplate seriously. Yes, I know I could adjust my privacy settings to limit his access, but I just can't bring myself to be his friend.

I also declined a couple of requests from friends of 'friends'; in each case, student friends. I know this goes against the Facebook/internet social networking philosophy of being friends with as many people as possible, but why would I want to be 'friends' with someone who knows someone I barely know? I am not using Facebook to connect with people I don't know, and I really don't want to have hourly updates about the doings of random students.

I have very little information in my profile -- just my name and location. Somehow, though, Facebook seems to know my age. My 'friends' range in age from 18 to 65, but FB has my age figured out quite well, if the ads that pop up on the side of the page are any indication. One ad is an invitation to join a social networking group for people in their 40's, and today I learned that exercise won't help me lose the extra weight I have no doubt acquired in my 40's, but drinking some sort of green tea concoction will. Another ad was for real estate, and it annoyed me because the ad text said "your" instead of "you're". I wish that Facebook would figure out that I am a professor and not show me ads with typos in them.

The best part for me has been the opportunity to reconnect with some friends from college and grad school. These friends weren't so close that we stayed in contact over the years, but are close enough that I am happy to have some way of interacting with them and seeing how and what they are doing now.

My collection of Facebook friends is a crazy mix of students, colleagues, and (real) friends of varying degrees of closeness to me, and I find that kind of interesting even if I am not taking full advantage of all the Facebook interaction possibilities. I am also pleased that I am now in double digits in terms of my number of friends. That makes me happy, although I wish one of my student 'friends' would stop sending me requests to play Facebook Texas Hold 'Em poker.

Inheritance

Sometimes when things don't work out between a student and advisor (no matter who is at fault, if anyone), the student may try working with another advisor in the same department*. This situation typically involves graduate students, but can also involve undergraduate research students. In some cases this is a neutral situation in which the student and advisor mutually and amicably 'divorce'. In other cases, however, this parting-of-the-ways creates a tense situation for at least some of the individuals involved: the student, the former advisor, and/or the new advisor.

The most tense situations are when the first advisor feels that the student has been given ample opportunity to show their abilities, and changing advisors isn't just a matter of exploring new research interests, it's shopping around for an easier project. If the advisor feels the student has demonstrated a lack of ability for Ph.D. research, for example, he or she might be annoyed if another advisor doesn't respect that opinion and agrees to advise the student. Of course the student's point of view might be that the first advisor or research project was deficient in some way, and so they want to try working with another advisor.

The very first graduate student I advised started working with me through an amicable arrangement between her former advisor and me. When I showed up in my first tenure-track position, this student was just starting her second year of the Ph.D. program. She'd spent most of the first year taking classes (and doing well in them) and thinking about what her research focus would be. Her interests matched mine well, and it was fine with her first-year advisor that she work with me. This was an ideal situation. In fact, I think it is by far the best 'inheritance' situation in which I've participated.

The second graduate student I advised started working with me through an amicable arrangement between his former advisor and me. The student said he couldn't get interested in his first advisor's research, but said he was very interested in my work. I took him on as an MS student, though it quickly became apparent that he wasn't interested in much of anything involving science or research. After trying, and failing, to work with me**, he said that he would probably do better if he had an advisor who had the same religious-ethnic background as he did. Remarkably, the graduate advisor allowed him to switch advisors again, but the student continued to fail and eventually left graduate school.

In both cases, the inherited student proclaimed an interest in my research field, but only one was sincere about it. Could I have figured that out and saved myself the stress, lost time, and wasted resources of Student #2? Unless we want to start giving lie detector tests to students, I think not. And even if we did have Research Interest Lie Detector Tests, they would be unlikely to work, as I think that some students may sincerely think they are interested in something, when in fact they know nothing about the topic and are just being hopeful or deluded.

I've also had several other students decide that they would rather work with another advisor than with me. In most cases, the students were failing and in danger of being forced to leave the graduate program. In these cases, no other faculty were willing to advise the students and the students had to leave. In at least one case, however, a failing student was allowed to switch advisors. In that case, the student didn't do any better with his new advisor than he did with me, and had to leave the grad program.

If there is any indication that a student is doing well or could do well with a change of academic scenery (e.g., the advisor and research project), a department has the responsibility to do what it can to help the student succeed. Certainly there are evil and/or negligent advisors, and students should be given assistance in those cases, including the option of changing advisors. If the student is failing or being unproductive, however, in the vast majority of cases this means that the student won't do well with any advisor. I've heard students say "If only I had a more interesting project, I would be more motivated and then I would do better", but in most cases that is delusional thinking.

There may be situations in which a student is locked into a specific project and has to do boring tasks A, B, and C, and nothing more. In that case, perhaps the answer is a change of projects/advisors. In most cases with which I am aware, however, the students have the opportunity to take some initiative with their research and make it interesting to them. If they don't -- and continue complaining -- then it may be an indication that it's not the research project and the advisor that aren't right for them, it's research in general.

Rock Star Scientists, II

Yesterday's post and some of the comments reminded me of an incident I had completely forgotten about until now:

Many years ago when I was a young FSP, I spent summers at the university where my husband was a postdoc. This was back in the days when we needed physical access to libraries that contained bound volumes of journals, and internet access was rare outside of academic institutions. Fortunately for me, my husband's institution gave me a desk, an internet connection, and access to the library during my extended visits.

Late one night, I was sitting in a big, comfortable chair in the small library that was in the department, alone and reading journal articles. On this particular day, I was taking it easy because I had injured my back somehow (I don't remember how and have not ever injured my back in the years since, so it was a one-time bizarre injury thing). As I sat and read, in walked an Extremely Famous Scientist who was famous for the excellence of his research and for using his work to improve life for all of Humankind. In fact, he was more than just a Famous Scientist, he was a Science Hero, and there are not many of those. I taught about him in my classes. And as if that weren't enough, he was also well known for being a very kind person.

When I encountered him, he was also very ancient and frail. He looked around the library, saw that I was the only person there, and walked over to me. I was thrilled to have the chance to meet him. After apologizing for interrupting my work, he said "The trunk of my car is filled with many very heavy books and I am not allowed to lift anything. Would you be willing to carry them to my office for me?".

It was like something out of a Greek myth in which a random god appears and asks a mere mortal to do an impossible task, like carry an anvil up a mountain. If the mortal fails, he or she is turned into a sad type of tree or a loathsome invertebrate. Was I being tested?

Why did I have to have an injured back on that day of all days? Any other day I would have been able to help him easily, but on that day, I wasn't sure I could carry a trunk-load of heavy books from the parking lot to his office. Carrying the journal volumes from a library shelf to my nearby chair had been an effort.

But how could I say no? Every person on Earth benefits every day from his research. Could I really say "No, sorry, I can't help you with your books, but thanks for saving the planet and its people."?

I said "I'll be happy to help you" and got up to follow him out of the library.

Just then, the gods relented and, although I had not seen another person for hours, two grad students appeared at that moment and offered to carry the books. The Science Hero thanked me graciously for being willing to help, and I collapsed in my chair, immensely relieved.

Why had I been willing to risk further injury and possibly fail at the task he required just because he was a Famous Scientist? If a random Big Shot had wandered into the library and asked me for help carrying books, I probably would have explained about my injured back and declined to help. In this case, however, the Big Shot was someone who had done more than just be a brilliant scientist, and I sincerely wanted to help this person.

What about other types of famous people? What if my fellow artist Paul McCartney had asked me to carry heavy books? I think I would have said no. I think I lack the capacity for routine celebrity worship. Some evidence for this is the eternal struggle I have with my book co-author, who reads this blog (sometimes? always? perhaps I will find out now?) and who is much cooler than I am and who likes to insert mainstream cultural references into the book; e.g., mention of popular movies and famous movie actors. Even though I ultimately accede to his superior knowledge of popular culture and his instincts for writing books that people might actually read, in the text drafts I can't help deleting "Brad Pitt" and replacing him with "Orhan Pamuk", even if I know the change is temporary.

Now, if Orhan Pamuk asked me to carry heavy books from his car to his office..

Rock Star Scientists

Earlier this year, I made a compelling case for how science professors are like rock stars. I was reminded of this today as I walked near campus with my daughter. We passed a person who was singing a Beatles' song to himself, and my daughter asked me:

"When you're in a cafe and you see someone reading that book you helped write, I wonder if you feel the same way that Paul McCartney does when he hears someone singing one of his songs."

I, for one, am convinced that we feel exactly the same, despite a few differences in Paul's and my situations with respect to our artistic creations. (One example: people sing his songs by choice.)

I assured my daughter that Paul and I share this experience. Perhaps I did so because I want her to value scientific creativity as much as other kinds.

Perhaps I want her to know that if her rock band, which practices about twice a year, doesn't work out, there are other appealing options in life.

Perhaps I wanted to make up for the fact that, much to her disappointment and disbelief, I don't have a favorite Beatle. She asks me every few months, but the answer is always the same. Although she continues to hope, I figure that if it hasn't happened yet, I am unlikely to acquire a favorite Beatle at my advanced age.

Mostly, however, I knew that she would know I was joking if I compared myself to the Beatles, and that we would have fun talking about the analogy between musical and scientific artistes. Now if only I could get the rest of my family to believe that I might be as creative as my cousin who majored in Ethnic Dance more than 10 years ago and who has a favorite Beatle.

Equally Shared

It is a bit disconcerting how often the New York Times Magazine has written stories about women, careers, and family lately. I guess it's good.. sort of.. that issues related to women, careers, and family are still considered newsworthy, and in a more nuanced way than the endless should-women-work debate.

The cover article in the magazine this past week was about "Childless Europe": why some European countries -- and in particular those in which it is traditional for women to stay home and take care of the kids -- have extremely low birth rates, in contrast to countries in which it is more common for women to work. Apparently some people think this is surprising, but it makes sense to me, although of course in the latter case, there must be some system of support for childcare etc., either from the community/government or the family/spouse.

The cover article two weeks ago was about "Equally Shared Parenting" (subtitle: Will Dad Ever Do His Share?). Apparently we equal-sharing couples are rare beasts.

My husband refused to read the article because he thought the topic was too stupid to waste time reading (and he had a lot of laundry to do), but I read it (while he cooked dinner). In fact, I couldn't really relate to any of the specific examples in the article. For example, it never occurred to me that I might want or need the instructions of a lifestyle coach to figure out how to share parenting equally.

I did find it interesting, however, that the couples profiled have had a much more difficult time balancing two careers + family than we have had. This most likely relates to the facts that:

(1) my husband and I are both academics with flexible schedules

I have written before about how, despite the time commitment and pressures of an academic job, the flexibility of academia helps me balance career and family. For example, in summer weeks when my daughter is not at a camp, my husband and I do a home-office relay in which we each stay at home for half of the day and work at the office for half of the day. I am not working significantly less than usual, and I have the freedom to adjust my day so that I can spend time with my daughter and still be accessible (in person or by email) to my students and colleagues. And weeks when she is at camp, either day camp or sleep-away camp, I have even more time to work than during the academic year.

(2) n = 1 (child)

I recently asked a friend, who gave up her career when the first of her 3 kids was born, what she's doing this summer. The answer: driving Hannah to tennis camp, driving Olivia to theater camp, driving Austin to soccer camp, doing errands and housework, picking up Hannah from tennis camp, picking up Olivia from theater camp, picking up Austin from soccer camp, cooking dinner, collapsing. Even though her kids are all school-aged, how would she manage summers if she went back to work? Of course, it would be easier to pay for all these camps if she worked, but then she'd have to pay someone to drive her kids to and from the camps (and she might still have to do a lot of the errands and housework..). I have the greatest respect for the work she does as a mom. There are FSPs with 3+ kids, but I couldn't do it.

(3) my one child has been remarkably healthy and happy

This relates to several factors: (1) luck, (2) the fact that we live in a somewhat untidy house with several cats has likely boosted her immune system; and (3) genetics: we have a generally very healthy family. In fact, between kindergarten and high school graduation, I did not miss a single day of school when in the US, and only missed school when we were living abroad and I contracted malaria and spent a few days unconscious and/or hallucinating.

(4) my husband and I have always shared housework etc., so it's not something we have had to negotiate or schedule in any intricate way, even without the help of a lifestyle coach. It's the way we have always lived together, even before our daughter was born.

(5) we live near campus and work in the same place

Life would certainly be more difficult with a long and/or complex commute

(6) luck

Luck has definitely been an important part of creating a good work/home life, and the rest has evolved with time.


I am sure there are other factors, but the ones I've listed are probably the key ones. Now if only I could teach (convince) my cats to mow the lawn and do the laundry, life would be even better and the New York Times Magazine could write an article that even my husband would read (while ironing); e.g., Cross-Species Housework: Are Cats Finally Doing Their Share?.

Rescind to Sender

In my role as editor, I have the ability to rescind a review that is 'inappropriate', and the definition of inappropriate is left to my discretion. I have never used this option, and have chosen to deal with the occasional inappropriate review comments in other ways.

For example, in a recent case, an otherwise acceptable review in terms of content and tone had a completely inappropriate statement that demonstrated the discomfort of the reviewer, who was from a western European country, with the government of the author's native country, which is east of western Europe. The review comment had absolutely nothing to do with the scientific content of the manuscript, and the reviewer's recommendation was bizarre. I sent the review to the manuscript authors, but mentioned in my editor's comments that the authors could disregard that particular recommendation by the reviewer.

I recently heard about a more egregious case than anything I have encountered. If I ever received such a review as an editor, I would rescind it. In this case, a reviewer, angry that the manuscript under review disagreed with some of his prior work on the topic, recommended that the manuscript be rejected and included an explicit racist comment about the first author. The editor rejected the manuscript on the basis of this review.

I'm not involved in the research and have no direct interest in the research, but I am familiar with the work in the rejected manuscript and know it to be of high quality. It is shocking that the manuscript was rejected on the basis of a review that clearly demonstrated an extreme lack of objectivity. Just as shocking is that an editor would let an explicitly racist review be sent to the authors.

This is not about political correctness. This is about being ethical. This is about being professional. This is not a marginal case in which a reviewer unfortunately chose to express himself in an awkward way. This is a disgusting case of a reviewer who was so lacking in objectivity about a perceived assault on his exalted reputation that he responded by denigrating an author's ethnicity. And he somehow felt comfortable doing so. The editor's behavior confirms that the reviewer was justified in this feeling of comfort.

I think that the peer-review system works quite well overall, but there are instances that seem to argue otherwise.

Reviewers and manuscript authors don't have many 'rights'. Authors would like to have the right to a rapid and fair review. Reviewers would like to have the right to have their comments taken seriously by authors and editors. In real life, the review process can take days to years; reviewers may or may not be as objective as they could be; authors may or may not take seriously the comments of reviewers when revising manuscripts; and editors may make decisions by flipping a coin or consulting their pet beagle.

I think that reviewers who include explicitly offensive comments about an author's race or other personal characteristics (gender, religion etc.) lose the 'right' to have their review sent to the author. This seems reasonable to me, and doesn't infringe at all on the time-honored tradition of implicitly or explicitly insulting the intelligence of the author.

Picture It

When I was first hired as a tenure-track professor at another university, the local newspaper did an article about me because I was an FSP in a place without many of them, despite the presence of more than one large university in the region. The article was accompanied by a photo of me surrounded by scientific-looking research equipment. I hated the photo, but I thought the article did a good job of explaining my research and why I find it so interesting. I also thought that it was in general a good thing to highlight the fact that women science professors exist.

Over the years, I've been in several other articles or projects whose intent is to show the world (or at least some people in a region) that there are FSPs. This might sound contradictory coming from someone who writes a blog intended for that same purpose, but a recent request for my participation in yet another one of these things made me feel sad, weary, and angry that I am still so exotic, 20 years later, that these believe-it-or-not-FSPs-exist projects are still being done.

My husband, who has never been asked to be interviewed or photographed as a Scientist, asked "Aren't you glad you're still special?" (<-- sarcasm).

Being photographed surrounded by Scientific Things again is getting boring, but I can think of a few other dramatic possibilities. How about if we FSPs are photographed surrounded by our numerous male colleagues, department chairs, and deans? How about if we are photographed doing menial service tasks that our male colleagues can't or won't do? How about if our photographs have captions like "I can't believe she's a real professor!". How about if my photograph and article from ~ 20 years ago is juxtaposed with a more recent one, with the same headline about what a rare creature I am.

I am not (entirely) serious about these alternate suggestions, of course. These FSPs-exist projects are well intentioned, and while clearly not sufficient motivation to inspire swarms of young women to become (and stay) scientists, it would be nice to think that someone somewhere is somewhat encouraged by this evidence for the existence of FSPs.

Science Performance

Last year, I wrote about a team of Chemistry professors and students who did a show at my daughter's school. This year it was a group of Physicists, and they did a similarly spectacular job of entertaining and teaching.

Just when I think I can no longer be entertained by seeing a banana or a balloon immersed in liquid nitrogen, I see one of these shows and am amazed. I am not amazed by the experiment itself (though fortunately the kids are), but by the energy and charisma of the scientists and the way that they explain things in a simple, clear, interesting, and fun way. The outreach work that these scientists do is extremely important.

I have the greatest respect and admiration for scientists who 'perform' for school kids and others, spreading the word that science is fun and interesting and blasting apart the stereotype that all scientists are quiet, strange men who never leave their labs.

The chemist who did the show last year is a woman (though not a full-time professor). This year, the lead scientist was a male associate professor, but he brought a group of students, including one female student. I am glad that the kids who saw both shows will have seen both men and women being Scientists, and, with all due respect to the women who do this important work, I am glad that elementary school outreach programs are not entirely the domain of part-time female adjuncts. My cynical bias, which arises in part because I happen to have my GENDER LENSES on (again), is that this type of activity will only be valued if Male Science Professors are active participants as well.

The essential element of putting on a successful science show for kids (or anyone) is to have the right personality and the ability to explain the science clearly. I do not have the personality or voice volume for this kind of high-energy science outreach. I have on occasion given short talks or told a story to an elementary school class, but these tend to be low-key events involving discussion, conversation, and only occasional goofiness.

I don't do these school visits to get outreach points on my annual report -- talking to kids about science has its own rewards, and I of course especially like visiting my daughter's class and school. It's a good thing that I don't need the 'credit', though, because volunteering at a school is something that moms are just expected to do. When my husband visits the school, he is treated like a celebrity who is doing something very special -- taking time out from his busy day of important work.

Even so, whether the scientist is low-key me, an exotic dad, or a charismatic physicist playing with dry ice in the gym, I think kids should see and get to know scientists and Science.

The Most Bizarre Thing So Far This Week

Does a week ever go by without some random, bizarre occurrence? Would life be boring if these things didn't happen, even if some of them are annoying?

This week's example:

I was sitting at my desk, and my office door was open, as it almost always is when I am in my office. A young man walked into my office and started talking to me, without any introduction. My first thought was that perhaps I am losing my mind faster than I think I might be -- perhaps I have met this person and just don't remember? Perhaps I am supposed to know this person? But no, it became apparent during the conversation that we have not met before.

Random Young Man (RYM): An International Scientist [names person I have never heard of] will be visiting in July for a few days and would like to start a collaboration with Scientists here. Are you interested in working with him?

FSP: That's hard to say without more information. What is his specific field of research?

RYM: I'm not exactly sure, but he has done some work on X [names research field that is not even remotely related to my research].

FSP: In that case, no, but there is another department at the university that does research in that field. Perhaps you can find someone there who would be interested in meeting this scientist.

RYM: So you're not interested in working with International Scientist? He is coming a long way and he really wants to collaborate with scientists here.

FSP: No, I am not interested in working with him. From your description, there is no overlap whatsoever in our research interests.

RYM: So you never work on anything outside your narrow field of research?

FSP: No, never.

But I apparently do sit at my desk just waiting for random people to stop by and ask me to do random things, and then insult me when I refuse.

Ivory Tower Basement, continued

This post is a continuation of yesterday's, in which I discuss an article in the June issue of The Atlantic Monthly.

A main point of Professor X's article, "In the Basement of the Ivory Tower", is to discuss the implications, including the "morality", of admitting students to classes that the students are apparently incapable of passing. This is a fascinating topic because it gets to the heart of some cosmic societal issues related to who can have, should have, and/or must have a college education, and what makes a course or experience 'college level'.

Students who have poor reading comprehension and/or writing skills cannot pass Professor X's introductory-level writing and literature classes. Despite being angst-ridden about the subjectivity of grading student papers, Professor X has a specific set of standards for what is required to get a passing grade on the assignments in his class, and some students cannot meet those standards. We could argue about whether his standards are too strict, but I'd rather keep this discussion more general.

Professor X points to the supposed financial gain for a college if a student has to take a course over and over, prolonging the time during which the student is enrolled at the college, and he mentions that administrators at his colleges don't seem to care that many of the students in his classes fail. Issues such as these provide some of the motivation for asking whether it is ethical to continue teaching students who fail. The question is particularly relevant to Professor X's colleges, which he describes as "colleges of last resort".

Professor X writes: "We [Americans] are not comfortable limiting anyone's options." That describes how I feel about the issue. If the alternative is to limit access to college classes, that is more disturbing to me than the situation in which students fail the same courses repeatedly. It's bad enough that some students don't have access to higher education owing to lack of ability to pay the tuition, fees, and other costs. Various colleges have various admissions standards, but I think there should be some colleges that accept anyone who is able to meet the most basic requirements of class participation, in person or online.

Earlier this year, I was traveling in a country that has long had excellent universities in its major cities, but is trying to expand and strengthen its higher education system in smaller cities and other areas. This is controversial, and a widely expressed opinion in the urban universities is that this expansion is a mistake because the regional universities won't be any good; the faculty will be mediocre and the students will be those who aren't good enough to attend the elite universities.

Broadening the university system sounds like a good plan to me. Why not increase access to higher education? The elite universities won't be harmed -- no resources are being taken from them -- and people who for various reasons can't attend the elite universities will get a university education. I like the organization of the U.S. system, in which there are many options in terms of university/college size, programs/emphasis, location, and admissions standards.

There will always be some students who can't succeed at the 'college level'. But is it immoral to let them try (again and again)? It is immoral if the educational system is dysfunctional and consists primarily of an accounting office to take your money so you can hurl yourself at impossible tasks taught by an implacable instructor.

If, however, a student makes a good-faith effort to pass a class, if the college has educational resources to help struggling students, and if the instructor makes a good-faith attempt (within the limits of what is reasonable in terms of time and effort) to help students succeed, it would be immoral to limit someone's access to a college education on the basis of their being unable to write a research-paper "grounded in history" (as required by Professor X).

Basement of the Ivory Tower

The June issue of the The Atlantic Monthly has an interesting article, "In the Basement of the Ivory Tower", written by anonymous Professor X, who is a part-time adjunct instructor at two colleges that he describes as "colleges of last resort".

There are of course major differences between Professor X's experiences teaching as an adjunct instructor of introductory writing and literature classes at these colleges (in one case, a community college) and my experiences as a tenured professor of science at a research university. There are, however, fewer differences than Professor X supposes, at least in terms of how we interact with students.

A few examples:

The Students. Professor X introduces his students by comparing them to their extreme opposites -- the 18-22 year old students at elite colleges or universities. When I read the article, however, his students seemed familiar to me. I thought: I know students like that.

Professor X's students did not spend years preparing for college. They did not spend their high school years working with tutors to prepare for standardized tests, they did not do extracurricular activities specifically designed to help their college applications, and so on. In fact, most students don't. Perhaps the hyper-prepared student trying to beat the odds and get into an elite school is the type that gets the most press, but the nation's public universities are populated by students who had a different experience.

Although most of the undergraduate students at my university are in the 18-22 year age range, I seldom teach a class in which every student is between 18 and 22. Some students are returning to college after years spent in a job, in the military, or raising kids. Most students work at least part-time, and some are paying their own way through school by working. Most are from the state in which the university is located. The difference is one of magnitude. Most, if not all, of Professor X's students are so-called 'non-traditional' students, whereas these students are in the minority at most universities.

Professor X's students are attending college because of a requirement for their jobs. Most don't want to take his classes, but they have to take them. I think that Professor X's description of teaching students whose life experiences, interests, and expectations are very remote from the subjects of his classes will feel familiar to anyone who has taught an introductory level class at a big university. I can certainly relate to the experience of teaching a class that is largely comprised of students who don't want to be there but have to take the class for a requirement. The experience can be both fascinating and frustrating.

Grading and grades: subjective /objective. Concerning grading and grades, Professor X has a 'grass is greener' complex, and is, alas, seriously in error.

Professor X writes: "How I envy professors in other disciplines! How appealing seems the straightforwardness of their task!" He mentions the "psychic ease" of multiple-choice tests ("Answers are right or wrong."), and gives an example of a hypothetical biology professor who just wants some memorized facts repeated on an exam.

Au contraire! Scientific concepts are not so easily distilled into memorized vocabulary words, and multiple choice tests can be ambiguous, at least according to the students who take them. The questions might be poorly worded. The array of possible answers might be designed to 'trick' the students. The answer key might be wrong. I have never felt the aforementioned "psychic ease" of giving (or taking) multiple-choice tests. I prefer other types of tests and assignments, which have their own issues, not so different from what Professor X describes in reference to grading papers.

Grades and grading: failing students. Professor X's students ask him to change failing grades to passing grades because they need to pass in order to graduate or get a tuition reimbursement or just because they worked "really hard". Who among us has not experienced this? I have encountered this everywhere I have taught, from an elite small liberal arts college to a big state university. A variant on the request to change an F to a passing grade is the request to change a passing grade to a higher passing grade, as some things depend on the student's maintaining a certain grade point average (e.g. scholarships; academic probation stipulations; eligibility to participate in sports).

A difference, however, is that Professor X fails many more students/class than I ever do. I would find it wrenching to fail so many students (see next section).

Grades and grading: emotional detachment of professors. Professor X writes: "The full-time, tenured professors at the colleges where I teach may .. feel comfortably separated from those whom they instruct. .. Professors can fail [younger/traditional college students] with emotional impunity because many such failures are the students' own fault: too much time spent texting, too little time with the textbooks."

I know not this "emotional impunity" of which he speaks, and do not find it any easier to fail younger students than older students. Even when I teach a large class and assign an F to a student who never/seldom attended class and who missed one or more exams, I wonder what will happen to that student. What is going wrong with their life that they can't attend class and/or can't manage their time and don't know how to get help in time? What will happen to this 18 (or 19 or 25) year old if they flunk out of school? And so on. I am clearly a failure at "emotional impunity", and I am by no means alone in not feeling "comfortably separated" from those I instruct.

Professor X has a difficult job: he teaches at two different colleges without job security. I only spent a year as an adjunct/visiting prof, and the lack of respect (and compensation) from my college was staggering considering how hard I was working. In many ways, to be a tenured professor is to live in a different world.

In some ways, though, we are not so different. Some student behavior is universal no matter what the age and life experience of the student, and some of us professors may not be so different either. The emotional aspects of interacting with students, grading them, and passing or failing them have many similar elements whether we are teaching literature or science, and whether we are teaching at a "college of last resort" or at a research university.

Note: This post became rather long, so I am dividing it into two parts, the rest to appear tomorrow, when I will discuss the more cosmic issues raised by Professor X regarding the 'morality' of teaching students who can't do college-level work.

Mine Mine Mine

After many years of having a logistically awkward situation with respect to my lab space, I finally convinced the new department chair that a more conveniently located lab that has been used to store junk for more than a decade would be well used by my research group. It is not a large lab, and it would not be desirable for most other research groups, but I have some low-tech activities that are perfectly suited for this smallish space.

This lab is now officially assigned to my research group, and in our few weeks of occupancy, we have already made good use of the space. Certain research activities are now much easier to accomplish efficiently, and it is easier to involve undergrads in research projects.

My other lab space is in a rather remote location and has its own set of keys that can only be acquired by filling out permission forms obtained from a difficult-to-find person who lurks in a basement office at random times. The new space is in the main department building, not far from my office, and can be accessed using a master key that all faculty, postdocs, and grad students have.

A colleague recently told me that a postdoc in another research group has been using my new lab and some of my equipment. This postdoc has not asked permission and in fact I have never even met him. I have not yet encountered him in the lab, but he always cleans up perfectly and he doesn't use any of the lab consumable supplies.

If he asked my permission to use the lab, I would readily grant it. So why does it bother me that he is using the lab without my permission? Am I more territorial than I had realized?

With my primary lab space, I limit access to those who have had the required safety training, who know how to use the materials and facilities, and whose key-permission forms I have signed. I am not aware of anyone who has used those lab facilities without my permission.

It's important to know who is using the lab for the simple reason that I am responsible for the people and the facilities. I once banned a Ph.D. student (not mine) from ever stepping foot in my lab again because he had repeatedly violated lab safety rules and because he was such a slob that he was causing problems for others who were also doing work in the lab.

Owing to that incident and a few other more minor ones, I know that I need to be generally aware of what is going on in the lab, and who is doing what.

And I feel territorial. I do not feel territorial with every molecule of my being, but the sentiment is lurking in there somewhere.

Furthermore, I do not believe that this postdoc would use, without permission, labs supervised by most (any?) of my colleagues. For some reason, however, he feels he can use my lab space without so much as having introduced himself to me.

Yes, I will talk to him, and no, I will not go nuclear on him and ban him from my 'territory' because he offended me by not asking permission first. If situations like this continue to arise, however, I am changing the locks.

Tell Me About It

For some conferences, I end up being a co-author on a number of abstracts/articles/proceedings because I am involved in various collaborative projects and am working with current and former students who are writing abstracts on research in which I am closely involved. The number is not huge for any one conference, but even so, it can be hard to keep track of who is writing what and whether my input is needed in a minor or major way. Typically, the first author will send a draft of the text to co-authors for comments, and that's how I figure out what, if anything, I need to do to help.

My comments can range from none to numerous, depending on the topic and first author, but if something has my name on it, I almost always want to see the text before it is submitted for review and possible publication. The one exception involves abstracts written by a particular long-time colleague, but even in that case we almost always discuss abstracts we are co-authoring.

On a few occasions, someone has submitted a really bad abstract with me as co-author and has not sent the text to me in advance.

A bad abstract is one in which the text is (a) wrong, and/or (b) poorly written. In one case, by the time I saw the bad abstract, it was too late for me to do anything about it. I wasn't the advisor of the student who wrote the bad abstract, nor even at the same university, but it wouldn't have mattered; the advisor didn't see the bad abstract in advance either. The student explained that no one had ever mentioned that co-authors should be given a chance to see and comment in advance on items submitted for review.

I was very angry. Only with great difficulty did I restrain myself from sending the student a sarcastic list of other common sense things that one should do.

In a more recent incident, a former student -- who does not write well and never has -- submitted an incoherent and error-filled abstract with me as co-author. We spent many many years trying to solve his apparently intractable writing problems, but he clearly didn't even run a spell-checker before submitting the abstract. Was that overconfidence, laziness, or delusional behavior? I don't know, but the problems went deeper than just spelling errors; some of the statements and conclusions were bizarre.

It is fortunate in that case that I was able to see an online list of abstracts on which I was listed as co-author, and I took a look at this one, as I was surprised to see that it had been submitted without being shown to me first. I was then able to upload a revised and corrected abstract before formal review. Hypocritically, I did not consult the first author when I made the revisions. [Yes, I did consider just removing my name, but the work was based on my idea and my work and a paper I had published, so I didn't think that was a reasonable option.]

Am I being a perfectionist and a control freak? My opinion: no on one and yes on two, though regarding my control freakiness, a more accurate term is
quality control freak. I don't really think my reputation for good science and writing would be damaged by a lousy (co-authored) abstract every now and then, but I'd rather avoid the experience if possible.

I previously wrote about a situation in which a highly flawed manuscript was submitted without my seeing the submitted version, and that was very embarrassing. The manuscript was rejected and was never resubmitted in improved form, and now the project has moved on without me. Because the first author, a former postdoc, screwed up, I probably lost my one chance to be part of a publication for a project that I helped initiate.

I have another colleague who tends to submit manuscripts after receiving what my co-authors and I think of as an initial round of comments, expecting to see one more version before final submission. Fortunately the submitted versions have been pretty good, so I have been more startled than upset by his precipitous submissions.

Quite often I review or edit a manuscript that has a co-author whose work I respect and know to be of high-quality, but who cannot possibly have read the manuscript submitted for review. I know we are all busy people and some people publish a lot, but I can't imagine
knowingly letting a manuscript/abstract with my name on it be submitted for review without my having approved the final version, or at least the penultimate version that only needs minor technical changes.

A situation of exactly this sort came up just this week. I was asked to fix the English in a manuscript whose first author is not a native English-speaker. I could not help but notice, however, that every co-author is from the UK, so I asked the first author why my help was needed. The answer: the co-authors
refuse to take the time to read the paper, but are insisting that their names be on it anyway.

In the recent case of the bad abstract submitted by my former student, he has more at stake than I do. He is an early career scientist; this is not a time to be careless with work submitted for review.

A colleague with whom I discussed this situation told me I should let my former student make his own way and succeed or fail depending on his ability to do good science and communicate, or not. That is, perhaps I should not have intervened to fix the abstract and should have let it be reviewed in its original submitted form. I agree with that advice in general, but in practice, it's easier said than done, especially with a former student and especially if I am a co-author.

Worst Insult

In the 20 June Chronicle of Higher Education, Jerome Neu, a scholar of insults, was asked how academics insult each other. The (vague) answer had to do with subtle insults about intelligence and "other things that may not be such points of pride elsewhere."

Does the fact that I don't know what those other points of pride might be mean that I am stupid? Go ahead and insult me, just be subtle about it, please.

In fact, I can make some educated guesses about the academic PoP's. Perhaps those points of pride involve the number and funding level of your grants; the value of your h-index; the impact factor of the journals in which you publish; and the ranking of your department/institution. I can think of others -- e.g. the quantity and quality of your honors and awards; the presence or absence of a personal administrative assistant; and/or the make and model of the espresso machine in your office -- but these might not be quite so specific to academia.

For those in the humanities, there are probably all sorts of subtle insults one can attempt based on the prestige of one's book publisher or the number of digits in one's Amazon.com sales rank.

Sometimes the gender, seniority, and other characteristics of the insulter dramatically influence whether a particular insult is effective.

Last year I had the evil pleasure of watching my most obnoxious colleague be verbally eviscerated by a not-subtle insult at a faculty meeting. If I had made the exact same statement, my colleagues would have labeled me as hysterical and mean, but it was devastating and effective coming from a distinguished senior colleague (who has several offices, an administrative assistant or two, lots of grants, and who recently won a major award).

The obnoxious colleague, previously described in this blog in the context of his offensive behavior towards women faculty and students, had been given a position of responsibility, and was poised to wreak havoc on some important aspects of the educational mission of the department. He presented his ghastly plan, and a few of us started to object to certain features of it, but our objections were swatted down. Then the Distinguished One proclaimed to the Obnoxious One:

You have a 19th century view of science.

And that was enough to kill the plan.

Free Labor

Every once in a while, a non-student will send me an email asking if they can do part-time work with my research group, not for money but just for the experience. In some cases these 'volunteers' are people who have an undergrad science degree and who took a job in the area and are now thinking about applying to grad schools. In some cases they have been scientists who move to the area for family reasons and want to stay involved in research somehow.

In the past I have agreed to this type of arrangement. In the case of volunteers with a B.S. or M.S. degree, my thought was that it was a chance to encourage someone with an interest in science and it was a chance to check out a prospective grad student. I tried to find projects that didn't require constant close supervision over long periods of time and that would be cool to do, but that weren't essential to do. That is, if the project got done, that's great and the results could be interesting, but if the project didn't get done (or didn't get done well), it wasn't a disaster. A good volunteer project also should not involve anything too sophisticated in the way of technique or equipment, or the training (including safety training) becomes much too involved. In the case of more senior scientists, I have suggested projects that were part of a larger, ongoing investigation but that could lead to publications and/or proposals for taking the research in new directions.

It can be hard to find projects that fit those criteria, no matter what the experience level of the volunteer, but it is not impossible.

The concept of a volunteer researcher might sound nice in the abstract, but I have found that it is not worth it to have research volunteers, and I am no longer agreeing to these arrangements. The cost-benefit analysis (in which 'cost' also involves time spent helping the volunteer) is different than for an official student or postdoc, and I have found that the time, expense, and aggravation involved has not been worth it compared to the supposed benefits for the volunteer and my research group.

In addition, my mistake in the past was assuming that someone who was willing to volunteer must have a deep desire to be immersed in research and an academic environment and must also be someone who is motivated and sincere. Perhaps I have just been unlucky and there are others out there who have heart-warming stories about a volunteer who used the experience to do interesting research and launched into further successful scientific study or work. Surely there are motivated high school students who want to do research, or retired Nobel Prize laureates who want to stay involved in science by volunteering their expertise to various research groups. OK, maybe not, but I hope that there are positive examples even though that has not been my experience.

I realize that by refusing to take on volunteers I might be passing up a chance to help someone who really does have a sincere interest in research and just needs a bit of experience and encouragement. That may be so, but my most recent negative experience with a volunteer is still too recent for me to want to become involved in such an arrangement any time soon.

I still get email from time to time from potential volunteers, and it always seems slightly crazy to me that I am turning down 'free labor', but I have to remind myself that it isn't really free and that the labor in many cases is mostly my own.

Moms, Jobs & Fun

The other day, my daughter and I were walking and talking.

Daughter: Do you remember when I did that profile of you for Mother's Day for a school assignment?

Me: Of course I remember. You drew a picture of me and you wrote a very kind of description of me and my life. I especially liked the part about the "laugh lines".

D: When we were writing about our moms, our teacher told us to stop writing so much about our mother's job. She said that was boring, and we should write instead about our mother's hobbies and what our mom did for fun because that was more important.

Me: What did you think about that?

D: I thought it was stupid so I ignored it.

Me: Why? Because I don't have hobbies?

D: You have hobbies, they are just strange hobbies, but that's not why. I told my teacher that you love your job and so it is an important part of you. You do your job for fun, and so it's not just a job, and I wanted to write about that.

Me: What you wrote was great. I wonder why your teacher thought that mother's jobs weren't interesting or important to write about. She clearly loves her job, and she's a great teacher.

D: Yeah, it was weird.

Except One

In the pile of things lurking in my mailbox upon my return from my travels were my teaching evaluations for last term. I am always curious about what I will find in my evaluations. I had an overall positive feeling about my class last term, but there are some things you don't know about how students perceive a class until they fill out the evaluations.

In the evaluations for my class this time, every student except one said that they learned a lot. Every student except one said they would recommend my class to others. Every student except one said that they would recommend me as an instructor. Every student except one said that I treated students with respect, was approachable, gave timely feedback, was organized, and so on.

I know which student hated the class. This student was unremittingly rude throughout the entire academic year. Is it better to know in advance that at least one student hates your class, or is it better if you don't know until you read your evaluations? Neither is good, of course, and in this case, knowing in advance that this student hated me and my class did not help us resolve the situation, and made for some unpleasant moments throughout the year. The student was unwilling to consider that the problems stemmed from anything but my failure as a teacher and a person, and attempts at friendly conversation went nowhere.

My initial hypotheses were that (1) the student had trouble learning in a classroom setting and expressed this frustration in some unpleasant ways; or (2) the student was having problems outside school, and these were of such severity that the student's academic life was also affected. Hypothesis 1 was discounted by various lines of evidence, and I was never able to figure out much about hypothesis 2 except that this student did not display rude behavior in every class, leading me to revise my hypotheses to consider data related to the student's selective rude behavior.

The data: out of six professors in my department, the student was blatantly rude and disrespectful to three, and polite and respectful to three. Call it a coincidence if you will, but the three of us in the hated category are female, and the professors in the respected category are male. I considered the possibility that the male professors were oblivious to some of the more subtle aspects of the rude behavior, but when I described some of the more dramatic examples, it became clear that this student behaved in a different way with different faculty and had been doing so for a long time.

I've learned over the years that you can't please every student in every class. Perfection is not possible, and it's a moving target from class to class depending on the students, class size, fall vs. spring term, topic/level of class, instructor energy level, and no doubt a long list of other things. You can't spend too much psychic energy being upset about one unhappy student in a class that otherwise seems to have been successful.

Even so, it's hard to write off a student, even an unpleasant one, even a sexist one. This student has now graduated, and will likely continue being rude to women in authority positions and polite to men. I regret that the student's time at the university, including a year of classes with me, made no apparent dent in a rather twisted world-view.

Ivy League of the Whatever

Every so often, one hears a current or former student of a non-Ivy League school refer to their college/university as being part of the "Ivy League of the ..." [fill in the blank with geographical term other than "East" or "Northeast" -- e.g. West, Rocky Mountains, Dakotas, -- or the name of another country/continent or another descriptive term*].

I personally do not know of any circumstances in which this has produced the desired impression, which presumably is something on the order of "You may not know much about my school and may not even have heard of it, but it is a really really good school and you should be impressed." It may well be a (very) good school, but if someone isn't familiar with it already, there's not much you can do at this point.

Another inadvisable approach is to mention a famous person who graduated (or briefly attended) your school. This, at least, is a factoid rather than propaganda, but should only be used as an 'interesting trivia' kind of conversational element, rather than an attempt to impress.

Students and graduates of certain small liberal arts colleges may find that their schools are not as widely known as they had thought/hoped, no matter what the ranking of the school in US News & World Report. In this case, it is best to accept this fact and come up with a brief but informative description, even if only to mention that it is in Massachusetts or Ohio or California.

Alternatively, when talking to someone who isn't well informed about your school, you may know from experience exactly what you need to say. For example, my friends from Vassar College say that they still have to explain that Vassar is not a women's college and has not been for nearly 40 years, and my friends from Cornell College are perpetually explaining that their school is in Iowa. And a certain person who went to Smith College, when confronted with the need to provide further information, likes to say "The "p" in Psmith is silent" (literary allusion few people get but she thinks it is funny anyway).

If you're going to do the "Ivy League of the Whatever" thing in conversation, at least choose your audience. If you say this to a group of students/graduates of schools that don't use this description, you might come off as kind of a jerk. If you say it to an advisor or potential advisor, they will already have their own opinion of your school, and the news that your school is Ivy Leaguesque will not impress. Presumably your own abilities and/or potential will impress or not, no matter what school you went to.

So, to whom can you mention the Ivy League of the Whateverness of your school? You do have some options, including fellow alumnae/i, your parents, and most small mammals, though even among these, not all will care.

* e.g., Women, Tundra, Interstate 5, Latvia

My Secretary

During my recent travels, a colleague with whom I was corresponding required a transaction that I could not complete without access to my physical office, which was thousands of miles away. I was stunned to get an email message that asked me if my secretary could help. Perhaps "she" could scan the necessary item and email it?

Perhaps she could, if she existed. I do have some colleagues who have a secretary or who share a secretary with 1-3 other faculty. I, however, am secretaryless.

It would be nice to have someone help with the technical aspects of managing a research program, but my department isn't going to supply me with a secretary any time soon, and I'd rather spend my grant money on research and students.

My husband occasionally mentions that he wishes he had an office "concierge" to make him espresso 5-12 times/day. For some reason that I probably don't want to explore too much, he pictures this person as a gay man with an Italian accent.

The concept of having a secretary or office assistant is too remote for me to have a mental picture of what my theoretical secretary would look (or sound) like. I personally wouldn't mind having an office tabby cat to reduce the rodent population and to look fierce when people come to my office to ask me to do things I don't want to do, although that wouldn't be too practical when I need help with grant or lab management.
